Process

We translators may seem like a mysterious bunch. But the translation process is really pretty simple. So what do you have to do to get a document translated? Well, not much really. We’ve broken the process down into a few simple steps.

A. Send us an email or call us on +61 (0) 8 7226 0513. We’re always happy to say hello.

We’ll have a chat about your document where we’ll ask the following questions:

1. Subject matter
2. Size / volume – pages or wordcount
3. Formatting requirements
4. Source language and regional variation (if known)
5. Target readership / purpose of text
6. Deadline

B. Based on these details, we’ll put together an estimate or quotation, usually within 24 hours. If you can’t wait that long, you can check out our basic Rates information here.

C. You’ll say, “Great. What a bargain!” and then we’ll send you a copy of our Translation Brief. (Again, you can dowload it here right now if you just want to get straight on with it). This is your opportunity to tell us about the target audience of the piece, the tone and style and importantly, what you want to achieve with the translation. And this is also invaluable information to us in order to do a well-researched, relevant and effective translation.

D. We’ll send you a Purchase Order confirming the Translation Brief, the total price for the job and your document delivery timing. The Purchase Order is important as it’s essentially a contract covering the work we’ll do, when we’ll do it by and how much it’ll cost. It also contains our Terms and Conditions for commissioned translation work.

E.You sign the Purchase Order and send it back to us by email or post. Once we receive your signed Purchase Order, we go away and get translating. We start by doing our homework. We scrupulously research the subject matter, market segment, and target audience, and get to grips with specific terminology and related concepts. Every subject area, market sector – and company – has its own specialised vocabulary, its very own keywords and style. We understand this. And this is where the Translation Brief comes into its own.

F. Every translation we do is proofread by a second linguist, who checks for any spelling or grammatical errors. And then it’s QC’d by a third linguist, who makes the formatting perfect and checks all the content is there. Three pairs of eyes. So you can be sure that the translation we send you is 100% pristine, publication-ready and contains no embarrassing errors or sloppy grammar.

G. We deliver the translation to you by your preferred method. This is normally in the form of an email attachment sent via secure mail server. But we’re happy to send hard copies by registered delivery too. Extra courier charges will apply.

H. You take a look, and if you’re absolutely blown away by our work, you hand us the cash. If not, or if there are any last-minute alterations or insertions, we go back and do a final draft. Until you are absolutely blown away by our work.

That’s all there is to it. Then you just sit back and wait for the orders to come rolling in.

How long will it take?
We aim to get your documents back to you within 5-7 working days. We also have a rush document service. Additional fees apply.

We will state the timeframe for your project on the Purchase Order. And keep to it.

Document translation is often the last stage in a long process, which means that deadlines are more-often-than-not tight. We understand this. We are more than happy to accommodate your specific deadline requirements. We can be as flexible in our working hours as you are.

What about the formatting of my documents?
We will return the file to you in virtually any file format that you specify. For a full list of file formats or applications we can work with, please click on the File Formats link. Sometimes, the basic design and layout of your publication may need to be altered slightly to be compatible with different scripts and text directions, for example, with Chinese and Arabic scripts, or languages where more words (and more space) are required on the page. We can provide a Desktop Publishing (DTP) service which encompasses formatting of all target language materials including text and graphics to match the source language documents. We will use whatever DTP application you specify.

    Output

We can provide client deliverables in any format requested. This could include Acrobat PDF, laser printed, offset printed, and so on.

What about the security and confidentiality of my documents?
We adhere to the Institute of Translation and Interpreting’s Code of Professional Conduct. This includes all issues of client confidentiality. All of your documents will be dealt with in the strictest confidentiality and all appropriate security measures are taken to ensure this.
